Privacy Policy
What we collect when you use this website, why we collect it, and what you can ask us to do about it.
Last updated 30 August 2026
1. Who we are
Scarfold Group is an information technology company based in Ghana, providing computer forensics, cybersecurity, web and application development, tracking systems and home monitoring services to clients in Ghana, elsewhere in Africa, Europe and the USA.
For the purposes of Ghana's Data Protection Act, 2012 (Act 843), Scarfold Group is the data controller for the personal information described in this policy. You can reach us at:
- No. 8 Turkey Avenue, Community 14, Ghana
- info@scarfoldgroup.com
- +233 24 077 7905, Monday to Friday, 8:00 AM to 5:00 PM
2. What this policy covers
This policy covers personal information we collect through this website: principally what you choose to send us using the enquiry form or by contacting us directly.
It does not cover information we process on behalf of a client during an engagement. Data handled inside a forensic investigation, a security assessment, a development project or a monitoring deployment is governed by the signed agreement and any data processing terms for that engagement, where we normally act as a processor rather than a controller.
3. What we collect
Information you give us
The enquiry form on our contact page asks for your name, email address, subject and message. It also offers optional fields for your phone number and the service you are interested in. Anything you type into the message box is up to you, including any detail you volunteer about your situation.
If you email, call or message us on WhatsApp instead, we hold whatever that exchange contains.
Information collected automatically
This website sets no cookies of its own, runs no analytics and carries no advertising or tracking pixels. See our cookie policy for the detail.
As with any website, our hosting provider may keep standard server logs recording the IP address, browser type and pages requested for each visit. These are generated by the hosting infrastructure for security and reliability, not by anything we have added to the site.
4. Why we use it
We use the information you send us in order to:
- reply to your enquiry and answer your questions;
- prepare a scope, approach and cost for work you have asked about;
- keep a record of what was discussed and agreed; and
- meet any legal or regulatory obligation that applies to us.
Our basis for doing this is your consent when you choose to contact us, together with our legitimate interest in responding to enquiries and running our business, and, once you become a client, the performance of our contract with you.
We do not sell your information, we do not share it for anyone else's marketing, and we do not add you to a mailing list because you sent an enquiry.
5. Who else sees it
We keep the number of third parties on this site deliberately small. These are all of them:
| Service | What it does | When it runs |
|---|---|---|
| Formspree | Receives the enquiry form and forwards it to us by email. It holds a copy of your submission. | Only when you submit the form. |
| Google Fonts | Serves the two typefaces the site uses. Your IP address is visible to Google as part of the request. | On every page load. |
| Google Maps | Shows our office location. Google may set cookies once it loads. | Only after you press "Load map" on the contact page. |
| Opens a chat with our business number. | Only if you follow a WhatsApp link. |
Beyond these, we may share information where we are required to by law, by a court, or by a regulator with authority to demand it.
6. Transfers outside Ghana
Some of the services above are operated from outside Ghana, principally the United States, so submitting the form or loading the site involves your information being processed abroad. We rely on the safeguards those providers put in place for international transfers. If you would rather not use the form, you can call us or email us directly.
7. How long we keep it
We keep enquiries for as long as we need them to deal with the matter and to keep a sensible record of it, and we delete them when that is no longer necessary. Where an enquiry becomes an engagement, the records are retained for the duration of our relationship and for as long afterwards as our legal, accounting and professional obligations require.
If you would like your enquiry deleted sooner, ask us and we will do it unless we are required to keep it.
8. How we protect it
Security is the business we are in, and we apply the same thinking to our own records: access limited to the people who need it, encryption in transit, and systems kept current.
No transmission over the internet is ever completely secure. This matters particularly for our forensic and security work, so please keep the detail in the enquiry form brief if your matter is sensitive. Tell us that it is, and we will arrange a secure channel before you send anything further.
9. Your rights
Under the Data Protection Act, 2012 (Act 843), and under the GDPR if you are contacting us from the European Union or the United Kingdom, you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct anything that is wrong or incomplete;
- delete information we no longer have a good reason to keep;
- stop or restrict a particular use of it;
- provide it in a portable form, where that applies; and
- stop using it for direct marketing, at any time.
Where we rely on your consent, you can withdraw it at any time. That does not affect anything we did with the information beforehand.
Write to info@scarfoldgroup.com to exercise any of these. We may need to confirm your identity first, and we will respond within the period the law allows.
10. Children
This website is aimed at businesses and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a child has sent us personal information, contact us and we will remove it.
11. Changes to this policy
If we change how the site handles personal information, we will update this page and change the date at the top. Where a change is significant, we will make that clear rather than leaving you to spot it.
12. Contact and complaints
Questions about this policy, or about anything we hold, should go to info@scarfoldgroup.com or +233 24 077 7905. We would always rather hear a complaint directly and put it right.
You also have the right to complain to the Data Protection Commission of Ghana, which regulates data protection in Ghana. If you are in the European Union or the United Kingdom, you may complain to the supervisory authority for your country instead.
Still have a question?
Ask us directly. We will give you a straight answer.
